Archiving reduces the size of your mailbox, hence reducing the load on the host server. Archiving simply means storing emails offline, thus saving mailbox messages on the local system itself.

Archiving in Mozilla Thunderbird

Thunderbird is a desktop email client widely popular for its simple and easy to use interface and most of all, for being free. It is an open-source email app to help manage emails, contacts, calendars, tasks, notes, and other mailbox components.

As most users prefer IMAP to manage their email accounts in Thunderbird, the load on the host server considerable increases. Even the most popular email platform Gmail only provides 15 GB of free space which is further shared with Drive and Photos. So, it fills up rather fast especially for professional users.

The best way to cull the size without deleting emails is to archive Thunderbird emails locally. By archiving the data offline, you can access them offline without the requirement of internet and even remove them from the server.

Methods to Archive Thunderbird Emails Locally

Mozilla Thunderbird provides a native way to archive Thunderbird folder offline. With this feature, you can determine what to archive and what not to. You can also archive them in:

  1. a single folder
  2. yearly archive folders
  3. monthly archived folders

You can even use an add-on to export the folders yourself and remove the messages entirely from the server afterward. For some, this is the better way to archive Thunderbird folders.

The last way is related to choosing a particular format to archive data that requires third-party applications.

In the end, it is completely your choice on what you choose and intend to use.

Using Native Archive Option

  1. Open the Mozilla Thunderbird client.
  2. Go to the Tools menu and click on "Accounts Settings" (If you cannot find a menu, press "Alt key" to unhide it.)
  3. Select the "Copies and Folders" option.
  4. Locate and tick the checkbox for "Keep message archives" in option under "Message Archives".
  5. Choose a folder to archive Thunderbird emails in “Archives Folder on” and click on Archive options.
  6. If you want to create the archive offline, select "Local Folder" here before setting the "Archive" options.
  7. Choose how you want to archive data: A single folder, Archive email by year, Archive email by months
  8. Click "OK" and restart the Thunderbird app.

Archive Thunderbird with Add-on

  1. Open Mozilla Thunderbird app
  2. Click on "Tools" menu and hit the "Add ons" option (Hit Alt key if the menu is hidden)
  3. Open the "Extensions" tab and search for "Import export" in the search bar.
  4. Click on "Add to Thunderbird" corresponding to "ImportExportTools NG" add-on.
  5. You will get a notification. Click on "Add".
  6. Restart Thunderbird.
  7. Right-click on the email account and choose "ImportExportTools NG" option.
  8. Click on "Export all the folders" and save the entire mailbox folders of the chosen email account on your system for offline use.
  9. If you want to archive selective Thunderbird mailbox folder, simply right-click on that particular mailbox and save the emails accordingly.

Archive Thunderbird Folders to PST, MSG or PDF

The previous two methods use MBOX format to store the mailbox files by default. If you wish to archive emails by format not supported by Thunderbird, you will require the assistance of MBOX to Outlook Converter.

With this, you can export your Thunderbird emails to the following formats on local machine:

  1. PST
  2. PDF
  3. MSG
  4. EML
  5. EMLX
  6. NSF

The original emails/mailbox folders once exported via the app are still available on your server while the exported files are only available on your local machine. So, you can choose to retain the original emails or simply remove them permanently from Thunderbird/ Mail server to curb the storage issues.
