Temporary post update allows you to set a specific time period during which an employee will not be allowed to see his/her IFHRMS details online.

This feature is useful for employees who are out of the office and want to keep their IFHRMS details private so that they will not be visible anywhere in the system.

The temporary post update feature is very easy to operate and will help you in preventing others from viewing your IFHRMS details until the time you come back.

When should I use Temporary Post Update?

Temporary post update enables employees to set a specific time period during which they want to keep their IFHRMS details private. The feature is available for all employees who are out of office i.e. on leave, on training, on leave without pay etc.

The employee is allowed to configure the temporary post update settings for any given future date within his/her online account only before the actual out-of-office date.

It means that you cannot configure the temporary post update settings after your actual leave date, as it will be treated as your first day of post update.

As an employee, if you want to configure a temporary post update, you need to set a specific time period via which you want to keep your IFHRMS details private. This time period should fall between your first day of leave and the last day of leave.

If you have already configured the temporary post update settings, then IFHRMS will prevent anyone from viewing your whereabouts online until the time period set by you ends. The out-of-office notifications will also be disabled during this time period.

Please note that when you are back, your temporary post update settings will automatically get cleared. The details of how to clear the temporary post update will be discussed in the next section.

How to do Temporary Post Update in IFHRMS?

There are two ways to configure the temporary post update settings in IFHRMS.

Let's first see how the temporary post update feature should be done via the online method.

  • Log into your IFHRMS account.
  • Under SETTINGS, click on the POST UPDATE SETTINGS tab to view your current post update settings, if any. If you are doing this for the first time, you will see no entry here.
  • The Temporary Post Update Settings page will appear where you can see both the basic details of Temporary Post Update and Time Periods that have been set by you already or are yet to be configured by you for future dates including your current leave date.
  • If you are doing this for the first time, you will see No Time Period configured. Click on Configure Time Periods to configure your Temporary Post Update settings.
  • The following page will appear where you can configure your Temporary Post Update settings for future dates including your current leave date by selecting the time period from the calendar icon on the top right side of the page.
  • Choose a date on which you want to set the temporary post update settings, i.e., between your first day of leave and last day of leave - please note that if your actual out-of-office date is configured after the last day of leave, it will be treated as the first day of post update.
  • Provide the temporary post update settings for the selected date, by using all of the customised fields on this page.
  • Click on Save Changes to save your new Temporary Post Update settings and start receiving out-of-office notifications along with other important notifications such as salary calculation policy updates or IFHRMS related policies that might be due soon.
  • If you choose to clear the temporary post update settings, you will get a popup window titled Clear Temporary Post Update Settings.
  • In this popup window, please click on Clear Temporary Post Update Settings to clear the temporary post update settings.

If you choose not to clear your Temporary Post Update settings, you will get a new popup window titled Clear Temporary Post Update Settings, containing all of the details about the temporary post update that you have configured in IFHRMS.

How to overcome the failure in Temporary Post Update?

IFHRMS is responsible for sending out notifications and updates to employees and contractors regarding temporary post updates and these notifications will be sent only during the specific time period that you have set.

If any of the errors that are listed in the Error Log occurs, then these failovers in Temporary Post Update will also be documented in the Error Log.

For example, if an employee's IFHRMS details are not sent out when he/she is at home, then this failure in IFHRMS may be due to one or more of the following reasons:

  • You are trying to view your IFHRMS details when you are still on leave.
  • Your IFHRMS details are not getting updated in the system when you are at home.
  • You are trying to configure your Temporary Post Update settings when you are still on leave.
  • Your Temporary Post Update settings cannot be configured when you are still on leave.
  • Your Temporary Post Update settings have not got triggered by IFHRMS, as the time period that you have set has not ended yet.
  • You are trying to clear your Temporary Post Update settings when the time period that you have set has not ended yet.
  • You are trying to configure your Temporary Post Update settings on the actual day of your leave.
