After receiving numerous inquiries about my extensive experience applying to over 32 schools in the United States and Canada, I have compiled this roadmap to assist aspiring scholars in their graduate application journey. This guide will provide a useful framework for navigating the application process, and I hope it proves beneficial to all scholarship applicants all year round. While this is a summary of the process, a more detailed step would be shared in my subsequent write-up.

May

🚩 Register for the GRE (optional): If required by your chosen programs, register for the GRE and familiarize yourself with the test format and content.

🚩 Register for the TOEFL (optional): If English proficiency tests are necessary, register for the TOEFL and begin preparing for the exam.

🚩 Select and start taking relevant online courses: Identify and enroll in online courses relevant to your field of study. Aim to complete them by July 31.

🚩 Apply for your passport: Begin the passport application process to ensure you have a valid passport for travel.

June

🚩 Draft your CV: Prepare your curriculum vitae (CV) highlighting your academic achievements, research experience, and relevant skills.

🚩 Search and select schools offering your course: Research and identify universities that offer your desired course of study. Select them based on your predefined criteria (outlined below).

🚩 Draft and begin sending cold emails to professors: Reach out to professors whose research aligns with your interests. Introduce yourself, express your interest, and inquire about potential research opportunities.

🚩 Attend relevant summer conferences (optional but recommended): Explore opportunities to attend conferences or webinars related to your field of study. This can enhance your knowledge and provide networking opportunities.

July

🚩 Register for the TOEFL and/or GRE (if applicable): If you haven't already, register for the TOEFL and/or GRE exams based on the requirements of your chosen programs.

🚩 Keep selecting schools based on predefined criteria: Refine your list of potential universities, considering factors such as test score requirements, program reputation, faculty expertise, and available financial aid.

🚩 Complete all online courses: Finish the online courses you started in May, ensuring that you meet the July 31 deadline.

🚩 Continue sending cold emails: Maintain communication with professors, building connections, and exploring research possibilities.

🚩 Start your statement of purpose: Begin crafting your statement of purpose, emphasizing your academic background, research interests, and career goals.

August

🚩 Perfect your statement(s) of purpose: Refine and polish your statement(s) of purpose, highlighting your unique qualities and explaining why you are an ideal candidate for each program.

🚩 Perfect your Academic CV: Review and revise your academic CV to ensure it accurately reflects your accomplishments and experiences.

🚩 Keep sending cold emails: Continue reaching out to professors, seeking guidance, and expressing your interest in their research.

September

🚩 Start getting application fee waivers: Research and explore opportunities to obtain application fee waivers from universities that offer them.

🚩 Keep selecting and streamlining schools: Finalize your selection of universities based on your predefined criteria and prioritize those that align with your goals.

🚩 Review your statement of purpose: Revise and review your statement(s) of purpose, ensuring they effectively convey your passion, research interests, and suitability for each program.

🚩 Begin graduate application(s): Initiate the application process for your chosen programs, ensuring you adhere to all deadlines and submission requirements.

🚩 Receive your passport: By this time, you should have received your passport if you applied in July.

October

🚩 Keep getting application fee waivers: Continue seeking application fee waivers from universities and follow their specific instructions for obtaining them.

🚩 Write and send your GRE and TOEFL scores (optional): If required or recommended by your target schools, take the GRE and TOEFL exams and submit your scores to the respective institutions.

🚩 Begin/continue grad application(s): Complete and submit your graduate applications, ensuring all required documents, such as transcripts, letters of recommendation, and test scores, are included.

November

🚩 Complete US applications with December 1 and 15 deadlines: Prioritize submitting applications to universities with early deadlines to maximize your chances of acceptance.

🚩 Continue Erasmus Mundus applications: If you are applying for the Erasmus Mundus scholarship program, continue working on your applications and submit them by the designated deadlines.

🚩 Keep applying: Keep submitting applications to other universities and scholarship programs that align with your academic and career aspirations.

December

🚩 Keep applying: Take advantage of any remaining application deadlines and continue submitting your applications to universities and scholarship programs.

January - March

🚩 Keep applying: Some universities and scholarship programs have later deadlines, so continue to explore and apply to suitable options.

🚩 Do admission interviews: If selected for an interview as part of the application process, prepare thoroughly and confidently present your qualifications and aspirations.

🚩 Get admission decisions - offer(s) and some rejection(s): As admission decisions start rolling in, carefully evaluate the offers you receive, taking into account factors such as program reputation, funding opportunities, and personal preferences.

April - May

🚩 Determine which school to attend: Consider the offers you have received, review funding packages, and consult with mentors or advisors to make an informed decision on the university you will attend.

🚩 Get i-20 (for US) and begin visa preparations/attend visa interview: If you have chosen a US university, obtain the necessary immigration documents, such as the i-20 form, and begin preparing for your student visa application and interview.

🚩 Attend to visa preparations: Familiarize yourself with the visa requirements and gather all the necessary documents. Prepare for your visa interview by researching common questions and ensuring you have compelling answers.

🚩 Travel: Make travel arrangements, book your flights, and prepare for your exciting journey abroad to pursue your graduate studies.
