If you feel there are never enough hours in the day to get work done or struggle with constant procrastination — leaving you stressed and burnt out — you are not alone.

Time is a precious resource, and we all get the same 24 hours in a day. Yet, some people manage to accomplish more than others. The key difference is effective time management. If you want to apply this to your life, here are ten tips to help you get started.

1. Get clear on why

Getting clear on your "why" can be a powerful tool for managing your time effectively. So, ask yourself why effective time management is important to you, and write it down. Try to come up with at least 10 reasons.

Is it because you want to earn a job promotion? Start a side hustle? Or maybe you just want to free up time to spend with your family and friends?

Your “why” will help you stay committed to developing your time management skills with the tips that will be shared in the rest of this article.

2. Plan your day

Planning is an essential ingredient of effective time management. As Benjamin Franklin famously said: “If you fail to plan, you plan to fail.” When you have a plan in place, you know exactly what you need to do and when you need to do it.

Before you start your day, make a to-do list of all the tasks you need to complete. To make this even better, create this list the night before. This way,  you can mentally prepare for the next day and hit the ground running.

3. Prioritize your tasks

Once you have your to-do list, highlight the top three important tasks you need to get done for the day and arrange these tasks starting with the most difficult one. This helps you make the best use of your time by working on the tasks that matter, especially when you have the most physical and mental energy.

If any of the three tasks seem too big to tackle, break it down into smaller steps. This makes it appear less intimidating and makes it easy to get started working on it.

4. Use time blocking

Time blocking is a technique that involves dividing your day into blocks of time and assigning specific tasks to each block. Use a calendar or planner to schedule your three most important tasks, while leaving room for flexibility.  This can be a savior when you need to deal with unexpected things that pop up during the day.

5. Avoid multitasking

Contrary to what you think, multitasking is one of the worse things you can do if you want to get more work done. In fact, studies have shown that multitasking can reduce productivity by up to 40%.

Well…yes, you may get away with it when working on shallow tasks at work or handling personal chores at home. However, it’s a big no-no if you are working on tasks that require critical thinking, problem-solving, or high accuracy. So, get into the habit of completing one task at a time and experience the difference for yourself.

6. Eliminate distractions

We are constantly bombarded with emails, phone calls, and endless notifications, that take us away from the task at hand. Be honest with yourself, you already know the biggest sources of your distractions. And you probably already know how to deal with them — like leaving your phone in another room, disabling desktop notifications, etc. — but you don’t because focusing 100% on your work doesn’t seem appealing.

Working can be boring and uncomfortable most times but you have to learn to embrace it. So, before you think of escaping the situation by browsing through Instagram, or answering emails just to feel busy, remember “why” you decided to be intentional with managing your time.

7. Learn to say NO

This can be difficult especially if you are afraid you may come across as unhelpful or “rude”. However, this is necessary if you don’t want to feel stressed and burnt out later.

Learn to say "no", especially in situations where someone asks you to do something that conflicts with your priorities or availability. It could be requests from colleagues, friends, family members, or even strangers. Remember, it’s okay to decline a request — be firm with your response and polite.

8. Take Breaks

If you want to get more work done, it sounds like common sense to work, work, and just keep working…right? Well, wrong. Taking breaks sounds counterintuitive, however, it is actually necessary if you want to stay productive and avoid burnout.

Make sure to take regular breaks throughout the day. You can choose to have scheduled breaks (eg. after every 2 hours of deep work) or take breaks whenever you feel mentally exhausted. Use these breaks to rest, recharge, and reset your focus.

9. Use task management tools

Task management tools help you streamline your workflow and save a lot of time. There are many of these tools on the market including apps like ClickUp or Asana.

Once you set them up, they have built-in automation that can help you manage your tasks, collaborate with others, and track your progress. Their notifications and reminders are also very helpful for staying on top of deadlines.

10. Reflect and adjust

It’s important to reflect on your time management strategies regularly and make adjustments as needed. Take a few minutes at the end of the day, week, or month, to check in with yourself. Did you accomplish everything on your to-do list? If not, what can you do differently tomorrow? Use this information to improve your time management skills.
