As the team’s coach, it’s your job to make sure everyone is on the same page and knows why the scrum meeting is important.

If you cannot attend your team’s scrum meeting, don’t worry! You can still coach them through the meeting using these tips:

  • Make sure everyone on the team knows their roles like the back of their hand. The scrum master, product owner, and development team should all know what is expected of them during the meeting.
  • Make sure everyone understands the purpose of the scrum meeting. The meeting is not a place to discuss work in depth, but rather to get a high-level overview of what everyone is working on.
  • Emphasize the importance of staying on topic. The scrum meeting is a time to focus on the work at hand, not to get side tracked by other conversations.
  • Explain to the team why the scrum meeting is important , and how it will help them to be more productive by keeping everyone on the same page.
  • Provide a template or guide for the team to follow during the meeting.
  • Ask a trusted member of the team such as the scrum master or product owner to lead the meeting in your absence.
  • Be available to answer any questions or help with any problems that may arise during the meeting.

Include the date in the subject line of the email so the team knows which scrum meeting it is for.

In the body of the email, have a section for each team member to fill out.

Sprint Goal: This should be the goal that the team is working towards for this sprint. If you don’t have a sprint goal yet, that’s ok! Just leave this section blank and the team can fill it in when they start their sprint.

Tasks Completed Since Last Sprint: In this section, team members should list any tasks that they completed since the last scrum meeting. These tasks should be related to the sprint goal.

Tasks In Progress: Team members should list any tasks that they are currently working on. These tasks should be related to the sprint goal.

Blockers / Impediments: In this section, team members should list any obstacles that are preventing them from completing their work. This could be something as simple as not having the right tools or resources, or it could be something more complex like a lack of understanding.

Once everyone has filled out their sections, the team can start their daily scrum meeting. First, each team member should briefly go over the tasks they completed since the last sprint and the tasks they are currently working on. Then, they should identify any impediments that are preventing them from making progress. Finally, the team should discuss any action items that need to be completed before the next scrum meeting.
