Your office space can be your haven for productivity. Whether you work from home or you work within an organization’s office, this physical space has a great deal of influence on your ability to do your best work. The environment where you work should promote focus, creativity and efficiency, but connecting these requirements to organizing your physical space can feel like a challenge. Consider these strategies for keeping your office organized and how to establish an area that truly meets all of your needs.

Physical Layout

Understanding what space you are currently working with and what your current needs are critical first steps. By first understanding what you require of the space, you can establish a setup that is conducive to work. You can begin by writing out the major tasks and functions within your current role and any future growth projects that may differ from your current requirements. While you will have more flexibility in a home office in comparison to a digital one, there are ways to best tailor your space to meet the needs of your work.

Creating an organized environment goes beyond your physical space. Most people at some point have come across poorly organized and confusing folder setups on computers or cloud servers that feel overwhelming and confusing to navigate. It is important to understand that setting yourself up for success in digital spaces can also impact your ability to be productive and efficient. Consider setting up folders that are organized by content, client, year, project, etc. to give yourself a more cohesive setup.

An area of disarray in workspaces is often due to an unnecessary or large amount of clutter. Whether this is due to too many personal objects, office supplies or overwhelming papers. It is important to designate zones that are free of clutter and unnecessary objects. If you can remove the additional stuff from the area where you do most of your work, whether on paper or on the computer, you can create a more natural and less distracting flow. Nothing pulls you out of your workflow like spotting a page or note that also requires your attention, so create an area that allows you to truly dive deeply at the work at hand with minimal distractions.

Office supplies can be one type of clutter that gets in the way. Between staplers, tape, paper clips, writing utensils and sticky notes, there’s always something in the way on our desks. Consider how you can establish a more organized system in your desk drawers to avoid additional distracting items on your desk. By keeping them in an organized fashion and tucking them away in a drawer, you provide a clear area for work without random items getting in the way with a clear visual of when you need to restock. By introducing small boxes or desk organizers, you can set up your desk for a clutter-free space with consolidated, tidy storage.

Paper, Paper and Paper

The use of paper has improved with the increased focus of digital engagement at the workplace but is not avoidable. Particularly for fields that are highly dependent on paper systems, finding a way through all of the pages can feel like an endless and often impossible task. However, by creating a system for organizing paperwork you can alleviate some of the additional stress of drowning in sheets of paper. You can waste an enormous amount of time searching for one specific page, so establishing a system can give you an organized workspace and also increase your efficiency. This not only can reduce the stress of trying to find particular pages, but it can also reduce the amount of time required for these systems.
